Our Response to Coronavirus (Covid-19)

The impact and outbreak of coronavirus (COVID-19) is continuing to affect people and countries around the world. Our top priority is the health and safety of our employees, customers and partners.

The Prism Power Group is currently implementing our pre-planned business continuity plan. This allows us to continue to support all our customers, partners and employees to the highest possible standard during this time in both the manufacturing and the site services department.

We want to share our commitment to you and the steps that we are taking to protect all of our customers, partners, and employees. Given how rapidly the outbreak is evolving, we expect, and are prepared to iterate on our approach constantly to ensure the health and safety of everyone impacted by our business operations. The information below is reflective of our guidelines and practices as of 30th March 2020. We will update this post accordingly to reflect any fundamental changes to our plan.

We are closely monitoring the rapidly changing situation and are implementing all of the Government recommended steps including:

• Keeping all employees at a minimum distance of 2m.

• Opening our facility for 24 hours running so that employees have the opportunity to work hours to suit their family schedule.

• Our employees understand that during this difficult time cleanliness is more important than ever. We have instigated hourly soft cleans and weekly deep cleans.

• All employees have been provided with extra health and safety equipment including face masks, disposable gloves, hand gel and protective clothing.

• All employees are encouraged to follow the regular hand washing routine designated by the health authority and government.

• Where possible, employees have been tasked with working remotely.

• Employees have been asked to integrate with customer protocol whilst on site.

Protecting Our Workforce

Our senior team have taken action to protect the most vulnerable members of our workforce which include working from home wherever possible; where home working is not possible or practical, we have taken steps to create physical distance between our employees including rearranging the workspaces, splitting our production team, and staggering breaks.

Our Sales, Marketing, Finance, Design and Tendering teams will also be working remotely until further notice to reduce the number of staff in the offices, enabling us to increase the space between remaining employees in an effort to reduce or prevent transmission.

In order to protect the health and welfare of our employees and visitors and following guidance from the relevant healthcare bodies during this period of uncertainty, we have also taken the decision to curtail all but necessary face to face meetings with customers and suppliers where practical. We request that you do not attend our offices at this time, except when explicitly necessary and pre-arranged, which will be determined on a case by case basis.

Anyone scheduled to attend our premises who has travelled from or through COVID-19 affected areas within the last 14 days or has reason to believe they may have come into contact withCOVID-19, should avoid visiting our offices or sites until further notice. If this applies to you, please contact us so that we can make alternative video or call conferencing arrangements.

If you currently have an order with us that includes a FAT, we are available to discuss the options available to you, such as conducting on-site testing.

We will continue to observe and adhere to the government advice at all times.

Site Work & Production

As we find ourselves in unprecedented times, we understand that brings a high level of uncertainty about your delivery deadlines and ability to meet site commitments. We would like to provide reassurance and transparency with regard to deliveries, along with specific details of our contingency plans to contend with issues that may arise within our supply chain and/or workforce/production capabilities.

We are continuing our production, installation and site services as normal, but ask that our customers give due consideration to the way site inductions are carried out and where possible, efforts are made to ensure that a reasonable physical distance is maintained. We ask that attendance is limited to essential staff only. At this time, site work aboard is continuing as normal, however this may change as the UK and international governments implement their own border enforcement measures.

With regard to our supply chain and availability of product and materials, production is currently largely unaffected. However, we are at the mercy of any restrictions that may be placed on shipping. We have no intelligence to suggest that there is a significant delay at this time. We have identified products and materials in our supply chain which have been or have the potential to be impacted by the lockdowns abroad and, wherever possible, have sought to find alternative suppliers.

We will continue to assess the status and impact of any potential shortage of components and will seek to mitigate this with alternative components or design changes. If your order is likely to be affected, we will contact you to discuss any impact and any options available to you. If we have not been in touch to tell you otherwise you can assume that your order is currently unaffected.

We are keeping as close to our suppliers as possible in order to keep our production running as normal and will communicate openly with our customers when we foresee any potential impact on their orders and our ability to supply either to specification or on time.

With the ongoing changing situation, we are unable to make any guarantees about supply at this time, since we are dependent on an enormous number of variables that are entirely out of our control. However, we believe that we have plans in place to keep any potential disruption to a minimum and are taking all reasonable action to mitigate any risks to the greatest extent possible.

We hope this information is helpful in understanding how Prism Power Group is responding to coronavirus. We believe the implementation of the above will allow Prism Power Group to maintain the level of service we know our Clients expect, whilst keeping our employees, customers and partners as safe as possible.

Please be assured of our enduring commitment to our customers and stakeholders, that we will continue to work for the benefit of all involved, and hope that we will soon beat this terrible situation. Should you need assistance in the meantime you can get in touch with your usual contact or use the main number: 01923 296 700. Should it be required we can arrange a video or teleconference.

We appreciate your continued support and we wish you all the best in navigating the times ahead.
